Scope of this notice

KANTARIGAN MC GROUP LTD is the data controller for personal information that you send to us in connection with a Strategic Asset Snapshot, an enquiry or a subsequent advisory relationship.

This notice applies to information entered into this portal and to related information later sent by email, telephone, WhatsApp or another agreed channel.

Information we may process

We may process your name, work email, telephone number, company or ownership entity, role, preferred contact window, asset address, qualification answers, decision context and any property, financial, operating or transaction information you choose to provide.

Our hosting and security providers may also process limited technical information, such as an IP address, browser or device information, access time and security or error records.

You are not legally required to provide enquiry information. Without sufficient contact, asset and decision information, however, we may be unable to assess or respond to the request.

How this portal handles your request

When you submit the qualification form, the contact, asset and decision information entered is transmitted to KANTARIGAN MC GROUP LTD and recorded in our HubSpot customer relationship management system so that we can review and respond to the enquiry.

A copy of the submitted request is also stored in local browser storage on your device so that the briefing can be copied or downloaded. If CRM delivery fails, the portal displays an error and does not present the request as submitted.

Why we use personal information

We use personal information to identify the asset and requester, assess whether the opportunity fits our mandate, respond to the enquiry, prepare or discuss a Strategic Asset Snapshot, manage any resulting commercial relationship, maintain appropriate business records, protect the portal and comply with legal or regulatory duties.

We do not sell personal information. Snapshot information is not used for unrelated marketing without an appropriate lawful basis, and you may object to direct marketing at any time.

Lawful bases

Depending on the context, we rely on steps taken at your request before entering into a contract, performance of a contract, our legitimate interests in evaluating genuine business opportunities and managing professional enquiries, and compliance with legal obligations.

Where we rely on legitimate interests, we consider whether those interests are necessary and proportionate and whether your rights override them.

Sharing and international processing

Information may be shared only where necessary with authorised personnel, HubSpot as our CRM service provider, website hosting, email, communications and IT providers, professional advisers, project specialists acting under appropriate confidentiality obligations, and regulators or public authorities where disclosure is legally required.

If a supplier processes personal information outside the United Kingdom, we use an applicable adequacy regulation or another recognised transfer safeguard where required. We do not disclose commercial information to prospective transaction counterparties without authority or another valid legal basis.

Retention

Enquiry records that do not progress are normally retained for up to 12 months after the last substantive contact. Records connected with an instruction, contract, transaction, payment or professional advice may normally be retained for up to six years after the relationship ends.

We may retain information for longer where required by law, taxation, regulation, insurance, a dispute or the establishment, exercise or defence of legal claims. Information is deleted or anonymised when it is no longer required.

Confidentiality and security

We apply proportionate organisational and technical controls intended to protect information against unauthorised access, alteration, disclosure or loss. Access is limited to people and providers who need the information for an authorised purpose.

Information submitted for a Strategic Asset Snapshot is handled confidentially. Submission through this portal does not create a non-disclosure agreement or another contractual duty of confidentiality. A separate NDA must be agreed where legally binding confidentiality is required.

Qualification scoring

The portal produces a preliminary qualification index from the options selected. It is used only to structure and route the request. It is not a valuation, investment decision, credit decision or automated decision producing legal or similarly significant effects.

Your rights

Subject to the circumstances and applicable exemptions, you may ask for access to your personal information, correction of inaccurate information, deletion, restriction, portability, or objection to processing. Where processing relies on consent, consent may be withdrawn without affecting earlier lawful processing.

Storage technologies

The Snapshot function uses local browser storage to retain a copy of the submitted request on your device. The hosting platform may use strictly necessary technologies for access control, security and delivery.

The HubSpot tracking code is loaded only after you select “Allow cookie”. The portal then sets the first-party hubspotutk identifier and may set related HubSpot cookies. The identifier and the visitor's IP address are included with the form submission so HubSpot can associate the enquiry with the correct CRM contact, record its source and produce accurate form analytics. HubSpot tracking data is not used by KANTARIGAN MC GROUP LTD for unrelated advertising.

If you select “Continue without”, the tracking code is not loaded and no HubSpot tracking identifier is sent with the form. This does not prevent the enquiry from being recorded in HubSpot CRM, but anonymous browsing activity and form analytics may not be linked to the contact.

Complaints and changes

Contact us first if you have a concern about how your information is handled. You also have the right to complain to the UK Information Commissioner’s Office through its data protection complaints service.

We may update this notice when the portal, our service providers or legal requirements change. The current version and effective date will remain available on this page.
